Terms & Conditions
These Terms govern your use of Vehicle House, including the MyVH member account, company and fleet operator accounts, and all related services. By creating an account or using the services you agree to these Terms. Please read them carefully.
1. Who we are

2. Definitions
- Member — an individual who holds a personal MyVH account.
- Company Account — an organisation account created on the platform, identified by a Business Number and Customer Number.
- Operator — the organisation legally responsible for operating one or more vehicles.
- Operator Admin / Driver / Viewer — roles that determine what a person may do within a Company Account.
- Vehicle Record — the data we hold about a vehicle, including registration, service history, inspections and compliance events.
- Services — all features we make available, now or in the future, including those in section 4.
3. Accounts and membership
- You must be 18 or over and provide accurate, current information. You are responsible for keeping your login secure and for activity under your account.
- A personal account is created with your own email, which is your login. A Company Account may be created at sign-up or added later from within MyVH; the person who creates it becomes its first Operator Admin.
- We may decline, suspend or close accounts where these Terms are breached, or where required by law.
4. The Services
We provide, and may add to or change, the following. Not all features are available to every account type or plan.
- MyVH garage — your vehicles, service history, documents, reminders and digital membership card.
- Vehicle data lookups — registration, MOT and specification data sourced from government services (DVLA, DVSA) and third-party providers.
- Fault reporting and work requests — raising defects and requests that may be routed to a workshop or garage management system.
- Compliance tools for operators — driver walkaround checks, a tamper-evident compliance record, a fleet control board, roles and permissions, and delegation of authority to authorised persons.
- Company and fleet management — managing an organisation's vehicles, people, roles and records.
- Courtesy vehicles — where offered, we may require a valid driving licence and related details before providing a vehicle.
- Future services — additional features, integrations (including garage management systems), billing and payment facilities, and partner services that we may introduce. These Terms extend to them unless we provide specific terms.
5. Company and operator accounts
- By creating or acting within a Company Account you confirm you are authorised to act for that organisation and to bind it to these Terms.
- Operator Admins are responsible for who they add, the roles they grant, and any delegation of authority they give to Vehicle House staff or others.
- Our compliance tools assist with record-keeping and roadworthiness management. They do not transfer legal responsibility. The Operator remains legally responsible for the roadworthiness of its vehicles and for meeting its duties under DVSA guidance, its operator licence and applicable law.
6. Third-party and government data
Some information is supplied by third parties and government services. We pass it on in good faith but do not guarantee it is accurate, complete or current, and we are not liable for errors in that source data. Always verify safety-critical information independently.
7. Your responsibilities and acceptable use
- Keep your information accurate and only submit data you are entitled to provide, including about vehicles, people and companies.
- Do not misuse the services, attempt to access data that is not yours, or use the services unlawfully.
- You are responsible for the records and submissions made under your account.
8. Fees
Some services are free and some may be paid or billed per vehicle. Where charges apply we will make the price and terms clear before you incur them. [Pricing and billing terms to be confirmed.]
9. Data protection and privacy
We process personal data in accordance with UK data protection law. How we collect, use, store and share your data, our lawful bases and retention periods are set out in our Privacy Policy [link]. By using the services you acknowledge that Vehicle House holds and processes your details, your vehicle records and, for operators, compliance records, to provide the services.
10. Intellectual property
The platform, its software, design and content are owned by Vehicle House or its licensors. You may use the services for their intended purpose only. Your own data remains yours; you grant us the licence needed to operate the services for you.
11. Liability
- We provide the services with reasonable care and skill but do not warrant they will be uninterrupted or error-free.
- We do not exclude liability for death or personal injury caused by our negligence, for fraud, or for anything that cannot be excluded by law.
- Subject to the above, we are not liable for indirect or consequential loss, and our total liability is limited to the extent permitted by law. [Liability cap to be confirmed with legal advice.]
12. Changes to the services and these Terms
We are actively developing Vehicle House and may add, change or withdraw features. We may update these Terms to reflect changes to the services or the law. We will post the updated version here with a new date, and where changes are significant we will take reasonable steps to notify you. Continued use after changes means you accept them.
13. Suspension and termination
You may close your account at any time. We may suspend or end access where these Terms are breached or where necessary to protect the services or comply with law. On closure we will handle your data in line with our Privacy Policy and legal retention duties, including compliance records that must be retained.
14. Governing law
These Terms are governed by the laws of England & Wales, and the courts of England & Wales have exclusive jurisdiction.
